A New Chapter in Data Monitoring and APR Preparation

With the transition to Visit Tracker now complete, many programs are finding their rhythm with its new reporting tools and routines. As we leave behind older systems—such as Power BI—Parents as Teachers National Center (PATNC) wants to share what this next chapter in data reporting looks like and how Visit Tracker can fully support your program needs going forward.

Saying Goodbye to Power BI

Earlier this year, PATNC introduced two new Power BI reports to help programs during the transition and APR season:

  1. Case Service and Family Dates – Provides a high-level view of families served.
  2. Outcomes ER – Category 1 – Supports APR-related reporting.

While a small number of programs initially used these tools, usage has steadily declined as more affiliates adopt Visit Tracker’s built-in features. These reports will remain available through the end of the current APR season. After that, affiliate Power BI licenses will be discontinued, and these reports will no longer be accessible.

Navigating Reports in Visit Tracker: The Data Monitoring Guide

To support your reporting work, PATNC developed the Data Monitoring Guide—a resource that helps you track your data throughout the year. It points you toward key reports that align with the Parents as Teachers Essential Requirements and Quality Standards.

Most of these reports can be run at both the affiliate and parent educator levels, giving you flexible access to the data you need. Running reports regularly not only keeps you prepared for your APR submission but also ensures program fidelity.

Use What Works for You

The reports in the guide are recommendations, not requirements. Use the tools in Visit Tracker that best fit your team’s workflow, keep you aligned with the model, and meet your local reporting needs. If there are additional features or data views that would help, please share your feedback with PATNC—your input helps shape future enhancements to Visit Tracker.

Need Historical Penelope Data?

No problem! Even after Power BI access ends, historical Penelope data will remain available upon request at PATNC. Email the PAT Data Support Team at datasupport@parentsasteachers.org to request it.
